Job Summary:
We are seeking a professional and well-organized Receptionist cum Office Administrator to manage front desk operations while also handling key administrative duties. This role requires a proactive individual with excellent communication skills, multitasking abilities, and a customer service mindset to ensure smooth office operations.
Key Responsibilities:
Receptionist Duties:
Greet and welcome visitors, clients, and employees in a professional and friendly manner.
Answer and direct incoming phone calls; take messages when necessary.
Maintain a neat and organized reception area.
Handle incoming and outgoing mail, packages, and courier services.
Schedule and manage appointments, meetings, and conference room bookings.
Provide basic information about the company, services, and policies.
Ensure security by monitoring visitor logbooks and issuing visitor badges.
Office Administration Duties:
Manage office supplies inventory and place orders as needed.
Assist with HR-related tasks, including employee onboarding and attendance tracking.
Maintain and organize company records, documents, and reports.
Coordinate office maintenance, facility management, and liaise with vendors.
Support accounts and finance teams with invoice tracking and expense reporting.
Assist in organizing company events, travel arrangements, and team meetings.
Ensure compliance with office policies, safety procedures, and company guidelines.
Required Skills & Qualifications:
Proven experience as a Receptionist, Office Administrator, or similar role.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Customer service-oriented with a professional demeanor.
Ability to handle confidential information with discretion.
Problem-solving skills and a proactive approach to office management.
Preferred Qualifications:
Experience in administrative support, HR coordination, or facility management.
Familiarity with office equipment, scheduling tools, and CRM software.
Ability to work independently and handle multiple tasks efficiently.
