Summary

The Service Billing Manager is responsible for overseeing all billing activities within the Service Division. This role ensures accurate and timely invoicing, effective collections management, and proper financial documentation. The position also provides leadership and direction to a team of Billing Specialists and works closely with Account Managers to support division financial goals and operational efficiency.

Essential Duties and Responsibilities

• Generate and process invoices for service work orders and maintenance agreements.
• Submit invoices through customer portals and maintain portal compliance.
• Set up and maintain customer accounts within Viewpoint.
• Prepare lien waivers, certified payroll, and related financial documentation as required.
• Review vendor invoices for accuracy; resolve discrepancies and allocate charges to appropriate work orders.
• Close out work orders by applying general liability insurance documentation and closing purchase orders.
• Manage outstanding receivables and coordinate collection efforts with customers.
• Process customer credit card payments for service invoices.
• Manage and submit the Service department’s company credit card receipts on a weekly basis.
• Ensure compliance with company billing procedures and documentation standards.
• Generate reporting on open and completed work orders to support operational oversight.
• Process internal tool and equipment expenses weekly.
• Submit RPZ reports to municipalities and manage payment requirements.
• Perform additional duties as assigned to support service operations and financial accuracy.

Leadership Responsibilities

• Provide day-to-day supervision, guidance, and performance oversight of Billing Specialists.
• Support team development by promoting accuracy, consistency, and adherence to established processes.
• Other duties as assigned

Education, Experience & Skills

• Minimum of Five years of billing experience, preferably within the construction, mechanical, or HVAC industry.
• Associate’s Degree in Accounting, Finance, or a related field preferred.
• Strong attention to detail with the ability to manage multiple tasks and deadlines.
• Effective interpersonal skills; able to work collaboratively with internal departments and external partners.
• Strong written and verbal communication skills.
• Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
• Experience with Viewpoint or similar ERP systems preferred.
