Job Description

Responsibilities:

  • Manage execution of end-to-end speaker bureau operations including speaker bureau repository, dashboard, and speaker portal. Collaborate cross functionally with marketing brands on execution of programs within their specific respective bureau. Facilitate delivery of quarterly and EOY program reports for compliance, field, and patient marketing stakeholders.
  • Serve as main point of contact for all Speaker Bureau related inquires across both marketing brands (multiple products) and field forces to resolve any service issues or concerns directly with the vendor.
  • Partner with Compliance to execute the workflow for HCP contract agreements, auditing and compliance checks and balances are in place. Partnering with compliance and ensure execution of rules while holding agency partners and internal stakeholders accountable to ensure all programs execute effectively and compliantly within our guidelines.
  • Manage all operating requirements, including the delivery of metrics and reporting requirements to remain compliant and to ensure the systems are intuitive.
  • As needed, collaborate on the the planning, coordination, and management of speaker training meetings to ensure speakers and patient ambassadors are trained and can successfully deliver programs in all formats (virtually, live, or hybrid).
  • Demonstrate the ability to communicate clearly, concisely, and effectively to express information in both written and oral context with internal customers, attendees, team members, and vendors.
  • Manage vendor to ensure vendor deliverables and timelines are successfully according to expectations.
  • Manage budget adhering to budget plans, working with legal on statement of work requests, and creating and delivering HCP and patient consulting agreements.
  • Collaborate with brand team on developing patient program work-flows and executing patient programs and provide continuing ongoing strategic support of these programs, partnering with compliance on implementation of a set of business rules for patient programs, lead initiatives for contracts for new Patient Ambassadors.
  • Manage vendor relationships to ensure deliverables are being met
  • Collaborate on training program for field implementation of patient program events.

Requirements / Qualifications:

  • BS degree required
  • Minimum of 4 years of relevant industry experience meeting planning and execution, communications, and/or marketing operations.
  • Previous experience leading and building an infrastructure of a speaker bureaus strongly preferred.
  • Knowledgeable on technology including Veeva, Cvent, QR Codes. Be able to run reports effectively.
  • Experience understanding compliance and legal regulations to protect company policies when executing HCP and patient programs.
  • Strong logistical meeting planning and training skills to execute advisory boards in the pharmaceutical industry.
  • Demonstrated excellence in event/program execution with a strong drive for results and solution-focused mindset
  • Ability to work in a self-directed manner with minimal oversight.
  • Excellent cross-functional collaboration skills; can build relationships and lead teams without direct authority.
  • Strong project management skills; develops and executes project plans and can lead others to do so.
  • Excels in a fast-paced, results-driven, highly accountable environment where you can make a clear impact.
