Description

The Inventory Control Coordinator is responsible for overseeing the organization, tracking, and lifecycle management of Payarc's terminals and equipment inventory. This role ensures accurate intake, storage, documentation, and return of all deployed hardware, supporting efficient deployment and recovery processes across merchant accounts. The coordinator acts as the central point of accountability for physical assets, working closely with deployment, support, and QA to ensure operational continuity and inventory accuracy.

Requirements

Key Responsibilities

• Maintain real-time inventory tracking of all payment terminals, peripherals, and hardware in the Payarc Portal and internal tracking sheets
• Process terminal returns and exchanges in accordance with Payarc's Terminal Return Policy & Procedure
• Ensure returned devices are inspected, logged, tested, and dispositioned appropriately (restocked, discarded, or sent for repair)
• Manage and monitor the terminal sign-out process for internal stakeholders, ensuring accurate recording of all movements
• Coordinate with Client Onboarding Specialists to fulfill terminal deployment needs based on approved Terminal Setup Questionnaires (TSQs)
• Label and organize all equipment systematically, ensuring a clean, audit-ready inventory room
• Prepare and issue return labels as needed; track and log inbound shipments
• Partner with QA and Operations to reconcile discrepancies in stock levels and billing triggers (e.g., restocking fees, non-return charges)
• Support audits of monthly deployment and inventory reconciliation reports
• Perform regular cycle counts and physical inventory assessments

Qualifications

• 2+ years of experience in inventory control, warehouse logistics, or fulfillment support; fintech or SaaS experience a plus
• Proficiency in spreadsheet tools and inventory systems; familiarity with Zendesk and Payarc Portal preferred
• Strong attention to detail and organizational discipline
• Ability to lift and move equipment (up to 30 lbs) and remain stationed in inventory space
• Reliable, self-directed, and process-oriented
